Effective Communication. "Key to Success"

“Effective Communication skills are one of the most important skills that you need because they can help you achieve the best outcome in any situation.”

Communications management is the process by which formal messages are created, reviewed and communicated within a project. Clear, accurate and timely communication is critical to the success of any project, as miscommunication can result in increased project risk. If you communicate properly, the right stakeholders will receive the right information at the right time. This enables them to make well-informed decisions.

There are a variety of ways that you can communicate to stakeholders, including:

  • Internal newsletters
  • Project Status Reports
  • Presentation materials
  • Web news releases
  • Internal project memos
Regardless of the type of media used to communicate within your project, these five communications steps will always apply.

    Step 1: Identify the Message
Your Communications Plan will identify the communications messages that need to be distributed. Throughout the project, the Project Manager should review this plan to identify which messages need to be distributed, how and when.
    Step 2: Target the Audience

Step 3: Decide on the Timing
At this point, the type of message and the audience have been clearly specified. The next step is to identify the timing and frequency of the communications message. In some cases, regular communications, such as weekly Project Status Reports or monthly newsletters, may be necessary. In other cases, a one-off communication event, such as a project change notification, may be more appropriate. For each communications event, you need to be satisfied that the regularity and timing for each communications event is suitable.
    Step 4: Confirm the Format
With content, audience and timing decided, the format of the communication message can be effectively chosen. There are a number of different types of formats to choose from, including verbal presentations, written reports, memos, letters and emails.
    Step 5: Implement the Plan
The messages agreed to in the Communication Plan need to be delivered. You should document a first draft of the message content. The Project Manager or sponsor will review it and may suggest changes. Once approved the message is communicated to the target audience.

That's it. If you take these five steps each time you send out a communications message within your project, you will ensure that the right people receive the right message at the right time!

Take Ownership ........ Stop Complaining and Start Achieving.

We often complaint about almost everything happened with us be it in the office, in our family or anywhere on the globe. Do you know this is a bad habit? You should stop it to be a nice human being. I know it’s tough because at times we can’t tolerate and we went out to show our disagreement. I bet this bad habit will definitely create a negative impact on your personality and you will lose your image in-front of your boss, colleagues or family. Your complaining attitude takes you away from your success. In fact it won't be wrong if I co-relate this with Newton's law that complaining and achieving success are equal in magnitude but opposite in direction. This means that the more you complain about your circumstances the more you move away from your destination and vice versa. There is a very thin line difference between raising a concern and get that this reviewed or blaming others for anything which they did wrong and you do not like it.

On top of that, if you keep complaining, you will give birth to two more mental diseases which are 'blaming' and 'criticizing'. When you don't like your circumstances you start finding faults in people around you and then you start blaming and criticizing them for your failures. Hence all three diseases, complaining, blaming and criticizing strengthen their roots in your brain and eventually this negative attitude becomes your personality trait.
When you complain you waste your precious time. You build negative energy which piles up in your brain stealing your peace of mind leading to chronic psychological disorders hence it's a concrete physical, mental and emotional loss which is no way closer to any kind of benefit.

On the contrary, if you are a hard working soul, you believe in your skills instead of luck. You believe in the power of Now. You believe in power of making things happen instead of waiting for things to happen. Your analytical skills give you the luxury to break down the bigger problem into smaller problems and then you start fixing each problem one by one, moving near to your ultimate goal slowly and steadily.
So now is the time to decide whether you would like to live as a loser by complaining, blaming and criticizing OR live like a successful chap, the one who doesn't waste the time by looking in the past, the one who does not have a negative thought process, the one who is visionary and the one who once make a commitment then focuses on it all the way till the task is accomplished.

Complaining causes draining of energies and you are in position to lose your powers in this world of competition.
